Refund Policy
Last updated: June 2026. This policy explains how trials, charges, cancellations, and refunds work for Toothvity subscriptions.
Free trial
New clinics may receive a 14-day local trial on the Starter plan when the workspace is first created. During the trial you can evaluate product features subject to billing enforcement settings in your environment.
No payment method is required for the local trial. If you complete Razorpay checkout before the trial ends, paid subscription terms apply from the confirmed payment date.
How you are charged
Paid subscriptions renew on a recurring monthly cycle (unless otherwise stated at checkout). Charges are processed by Razorpay for India deployments, or Stripe where configured. Toothvity does not store your full card number.
Subscription status and plan changes are confirmed through payment-provider webhooks — not instantly on button click — so your billing page may briefly show processing state after checkout or management actions.
Cancellation timing
Owners with billing permission can schedule cancel at period end from the in-app billing page (Razorpay management) or the Stripe customer portal where applicable. When cancellation is pending, premium access generally continues until the end of the current paid period.
Cancelling stops future renewals; it does not automatically delete clinic data. Export records you must retain before access ends.
Refund conditions
We may issue a refund or credit when:
- You were charged in error (duplicate charge, wrong plan) and contact us within 14 days of the charge with details
- A verified platform outage prevented material use of the paid service for an extended period during the billed window
- Razorpay or our team confirms a failed fulfilment that was not resolved after a payment retry flow
Approved refunds are processed back to the original payment method where Razorpay/Stripe allows. Timing depends on your bank or card issuer.
Non-refundable cases
Refunds are generally not provided when:
- You simply changed your mind after a successful billing period began
- Your clinic violated the Terms of Service or fair-use rules
- Unused time remains after voluntary mid-cycle cancellation (no prorated refund unless required by law)
- Failure to export data before access ended after cancellation
Upgrades and downgrades
Upgrades(for example Starter → Growth) take effect through the billing management flow and Razorpay subscription update. You may be charged a prorated or full cycle amount per Razorpay's rules for the subscription.
Downgrades may be rejected if your active seat count exceeds the target plan limit — remove or deactivate members first, then retry.
Failed payments
If a renewal payment fails, your clinic may enter a past-due grace window (default 5 days after period end) where read access may continue but mutations are blocked. Use Fix payment on the billing page to retry via Razorpay management APIs.
Disputes and contact
Email support@toothvity.com with your clinic name, charge date, amount, and Razorpay payment/subscription id if available. We respond to billing disputes within a reasonable business timeframe.
