Terms of Service

Last updated: June 2026. By creating an account or using Toothvity, you agree to these terms on behalf of your clinic or organisation.

The service

Toothvity provides online software for dental clinics to manage patients, appointments, prescriptions, invoices, and related operational workflows. The product also includes in-app support, a help center, activity timelines, guided onboarding, and secure file storage for clinic branding and support attachments.

Features may change as we improve the product. We aim for high availability but do not guarantee uninterrupted access.

Plan features and tiers

Capabilities depend on your subscription plan. The Pricing page and in-app billing comparison are the canonical description of what each tier includes today.

  • Starter — core practice workflows (patients, appointments, prescriptions, invoices, clinic branding) with an owner login and a limited analytics snapshot.
  • Growth and above — adds treatment plans, consent forms, the patient recall engine, team invites and role-based access, and full practice analytics.
  • Multi-location — sales-assisted rollout for expanding practices; per-branch records and group billing. Self-serve multi-clinic workspace switching is not yet available.

Features marked "coming soon" on our pricing or roadmap pages are not part of the service until we ship them.

Accounts

You must provide accurate registration information and keep credentials confidential. You are responsible for activity under accounts you provision, including staff and invitees on Growth and above. Notify us promptly at support@toothvity.com if you suspect unauthorised access.

SaaS subscription terms

Toothvity is offered as a subscription software service. Paid plans are described on our Pricing page. A local signup trial may be provisioned when your clinic is first created (currently 14 days on the Starter plan path) so you can evaluate the product before checkout.

After trial or when upgrading, subscriptions bill on a recurring cycle through Razorpay (primary for India deployments) or Stripe where configured. Prices are shown in INR unless otherwise stated. Applicable taxes (such as GST) may be added as required by law.

Billing cycle and cancellation

Recurring charges continue until you cancel. Owners with billing permission can cancel at period end through in-app management (Razorpay) or the billing portal (Stripe). When cancellation is scheduled, premium access continues until the end of the current paid period unless otherwise stated at checkout.

File storage and fair use

Your plan includes storage allowances for clinic branding files and support ticket attachments, with per-file size limits. Uploads that would exceed your quota are rejected before they are saved. Replacing branding removes the previous file from active storage. See our Data Retention and Privacy Policy for lifecycle details.

Fair use and abuse prevention

You agree not to misuse the platform. Prohibited conduct includes:

  • Attempting to access another clinic's data or bypass tenant isolation
  • Automated scraping, credential stuffing, or circumventing rate limits
  • Uploading malware or interfering with service availability
  • Using disposable or fraudulent signup identities to evade controls
  • Reselling the service without written permission

We may apply technical controls (including rate limiting and access blocks) and suspend accounts that pose security or abuse risk.

Unlawful use

You may not use Toothvity for unlawful purposes or in violation of patient privacy, medical records, or professional regulations applicable to your practice.

Account suspension

We may suspend or terminate access for material breach, non-payment after grace periods, or credible risk to the platform or other customers. Where practical we will notify the clinic owner before suspension except for urgent security incidents.

Clinical and data responsibility

Toothvity is administrative and documentation software. It does not provide medical advice. Licensed practitioners remain solely responsible for clinical decisions, prescriptions, and regulatory compliance. Your clinic remains responsible for patient data you enter — see our Privacy Policy.

Intellectual property

Toothvity retains rights in the software, branding, and documentation. You retain rights in your clinic content. You grant us a limited licence to host and process your content solely to provide the service.

Disclaimer of warranties

The service is provided "as is" and "as available" to the extent permitted by law. We disclaim implied warranties of merchantability, fitness for a particular purpose, and non-infringement where allowable.

Limitation of liability

To the maximum extent permitted by applicable law, Toothvity and its suppliers are not liable for indirect, incidental, special, consequential, or punitive damages, or for loss of profits, data, or goodwill. Our aggregate liability for claims relating to the service in any twelve-month period is limited to the fees you paid us in that period (or INR 10,000 if you used a free tier), whichever is greater, except where liability cannot be limited by law.

Clinic offboarding

Clinic owners may request workspace offboarding from Settings → Danger zone. Offboarding requires platform admin approval, a recent clinic data export, and results in soft-delete of the workspace — not automatic permanent erasure of all clinical database records. See Data Retention for what is and is not removed.

Termination

You may stop using the service by cancelling your subscription. Export records your clinic is required to keep before access ends — download and store export files securely; Toothvity does not indefinitely re-host export archives. Upon termination, product access may cease per our billing lifecycle rules. Clinic data is not automatically deleted on cancellation — use Danger zone or contact support for offboarding. Governing law

These terms are governed by the laws of India. Courts in Bengaluru, Karnataka shall have exclusive jurisdiction, subject to mandatory consumer protections that apply to you.
